Cardholder Responsibilities

ProCard cardholders are responsible for the following:

  • Complying with BCTC/KCTCS Business Procedures, including BP 4.2 Procurement Card.
  • Completing ProCard Training prior to using a ProCard.
  • Verifying availability of budgeted funds prior to using the ProCard.
  • Ensuring no sales tax is paid on purchases.
  • Adhering to the single item limit of less than $500.
  • Adhering to the total transaction limit of less than $5,000.
  • Obtaining proper supporting documentation and required signatures for transactions.
  • Completing proper paperwork for processing ProCard statements.
  • Obtaining required signatures on ProCard statements.
    • Cardholder, supervisor and employee who performs edits must sign the monthly ProCard statement.
  • Adhering to the due date schedule for processing ProCard statements.

BCTC/KCTCS may terminate the cardholder’s right to use the ProCard at any time for any reason.

Supervisors of cardholders are responsible to carefully review each transaction to ensure compliance and validity.
